System integrations that get your business tools talking to each other
System integrations connect the tools your business already uses, like your CRM, online store, accounting or spreadsheets, so information moves between them on its own and nobody has to type the same order, customer or invoice twice. At Phoned-Tech, our senior engineers build these connections for you (also called API integration). It starts with a free 30-minute call, the plan is agreed in writing before any work begins, and everything we build is yours.
What a system integration does
Most businesses run on several tools: sales in a CRM, payments in the accounting software, orders in an online store, and the rest in a spreadsheet. Each one works fine on its own; the trouble starts when someone has to copy information from one to the other by hand.
An integration links two tools directly. When something happens in one, like a new order or a paid invoice, the other updates itself right away, so nobody on your team has to carry the information across and fewer mistakes slip in.
Is this right for your business?
It's worth a look if one of these sounds familiar:
- Someone spends hours each week copying orders, customers or invoices from one system to another.
- Your store, stock and accounting show different numbers, and you find out when a customer complains.
- New leads from your website wait in an inbox until someone adds them to the CRM.
- A simple report takes a day, because the numbers live in five places.
- An older system your business depends on can't talk to anything else.
What we can connect for you
We can do the whole job, or just the one connection you're missing.
- The tools you already pay for: customer systems like Salesforce and HubSpot, business systems like SAP and Priority, payments like Stripe, online stores, and systems built just for you.
- Updates in both directions: a customer pays or changes their details in one place, and every system knows.
- Routine jobs on autopilot: when a lead comes in or an order ships, the next steps happen on their own.
- Older systems with no easy way in: we use what they do offer, like a file they export at set times, or we build a small, safe doorway in front of them.
- A safe way for partners and suppliers to connect to you. Each one gets its own key, so you can shut one off without affecting the rest.
- Connections for an AI assistant: it can look things up safely, and any change to your information waits for someone on your team to approve it.
Who you'll work with
Phoned-Tech has been building software since 2013. Our head office is in Maalot-Tarshiha, Israel, and we're a small team: 7+ senior engineers, with 40+ systems launched. Four out of five clients come back for a second project. The engineers who join your first call are the ones who do the work.
What happens when something goes wrong?
Other companies' systems slow down, go offline or change without warning, sometimes on a holiday. If one of your tools is down, updates wait in line and go through when it's back, so nothing gets lost. We also build in these safeguards:
- No doubles: if the same update arrives twice, you still get one order and one invoice.
- One system has the final say on each detail, like prices. We agree which one in writing, so your systems don't contradict each other.
- Where the numbers must match, a regular automatic check catches anything that slipped through.
- If an update fails, it's easy to spot, it can be sent again, and the right person gets an alert.
- Everything is tried on test accounts first, and passwords are kept in a secure digital vault, separate from the code.
How it works, step by step
Every project follows five steps. The times below are typical and depend on how many systems are involved.
- Getting to know your business (about a week): a free 30-minute call, then a look at your systems and the access we'll need. You get a short written summary, even if you don't hire us.
- Planning (1 to 2 weeks): we map what goes where and agree it with you. You get a written plan and a clear quote.
- Building (2 to 12 weeks): we work in two-week rounds, and every week we show you the progress. A single connection between two tools is usually at the short end.
- Launch (about a week): we switch it on with your real information, set up alerts and write simple how-to notes, all in your company's own accounts.
- Looking after it (ongoing, optional): we keep your connections working when other companies change their systems.
What it costs and how pricing works
There's no price list for system integrations. The price depends on how many systems you connect, how much information moves between them, and how easy each one is to connect to.
You get a written plan and a clear quote before any building starts. Usually we charge per two-week round of work, each with its own written task list. A small, clearly defined job, like connecting two tools, can have one fixed price instead.
After launch: it's yours, and we're still here
You own everything from day one. The code, the cloud account and the access keys to your tools are in your company's name. You also get written notes on how it all works.
Our optional support plan keeps your connections running, watched and up to date, and if you need it, we agree response times in writing.
When we're not the right fit
If your tools already have a built-in connection that does the job, use it. If a simple ready-made automation tool like Make or n8n will do, we'll set that up instead, so there's less for you to maintain.
If it's mainly a Shopify store talking to your stock or accounting, our online stores and Shopify service covers both. And if you're about to build a CRM just to hold all this information, look at Phoned-CRM first. It's customized for each client, every client gets their own CRM on a completely separate server sized to their needs, and the price is quoted per client.
We're also not a fit if you need a big team of developers on demand.
System integrations: common questions
How much does a system integration cost?
There's no price list, because it depends on how many systems you connect. After a free 30-minute call and a short getting-to-know-you step, you get a written plan and a clear quote. One clearly defined connection can often have a fixed price.
How long does it take?
Typically about a week to get to know your business, one to two weeks of planning, 2 to 12 weeks of building and about a week to launch. A single connection between two tools is usually at the short end.
Can you connect Priority, SAP or an old in-house system?
Yes. Priority, SAP, Salesforce, HubSpot and Stripe are all systems we connect to, and so are custom and in-house systems. If an older system has no easy way in, we work with what it does offer.
We're not technical. What do you need from us?
That's fine. We need your knowledge of the business and a little of your time. Tell us which tools you use and where things get copied by hand. Give us access to the accounts involved, and join the short weekly update where we show you the progress.
Who owns the integration?
You do, from day one. The code, the cloud account and the access keys are in your company's name, so you're never stuck depending on us.
What happens after launch?
You choose. Our optional support plan keeps your connections working and updated when other companies change their systems. Or your own team takes over, using our written notes.
