AI chatbots and AI agents for business, built to save your team time
AI chatbots and AI agents for business are smart assistants that answer questions and handle routine tasks for you. A chatbot answers your customers or staff from your own information, like price lists, policies and documents. An AI agent goes a step further and does some of the work: it sorts requests, drafts quotes and replies, and updates your records, with a person approving anything important. Phoned-Tech builds them to take repetitive work off your team, while you stay in control.
What AI chatbots and AI agents for business actually do
Think of a chatbot as a new team member who has read everything your business has written down. When someone asks a question on your website or in a system your team uses, it answers in seconds and shows where the answer came from.
An AI agent (also called an LLM agent) takes the next step. It can check an order, pass a request to the right person or draft a reply for someone to check. You decide what it may do on its own and what must wait for a person.
Is this right for your business?
It's a good fit when your team spends a lot of time on the same kind of written work, and a wrong draft is easy to catch before it goes out. Common signs:
- Your team answers the same questions again and again
- Someone has to read and sort every request before work can start
- Quotes and replies are written by hand from a price list or catalog
- Information is spread across documents and folders, and people waste time looking for it
- Customers wait until the next working day for a simple answer
What you get
Every project is shaped around your business. Most are one of these, or a mix:
- A chatbot for your customers that answers from your information and shows its sources
- An internal assistant that helps your staff find answers in your documents
- An assistant that reads incoming requests, sorts them and suggests the next step
- An assistant that drafts quotes and replies, then waits for a person to approve them
- An agent that updates your records, only within limits you set
- An assistant inside the app or system you already have, that shows each person only what they're allowed to see
How it stays accurate and under your control
It answers only from your information, and each answer links to its source. When it isn't sure, it passes the question to a person.
Important actions wait for a person. The assistant can prepare refunds, account changes and emails to customers, but nothing goes out until someone on your team approves it. Small tasks that are easy to undo can run on their own, with a one-click undo, if you agree to that.
Every time something changes, before launch and after, we check the assistant against a set of real questions with known right answers, so problems are caught early.
It keeps working when something goes wrong: if the AI company it uses has an outage, it can switch to a backup, and a step that fails halfway won't send the same order twice. If your information must not leave your company, the AI can run on your own servers.
How it works, step by step
Most projects take 4 to 16 weeks from the first call to launch.
- Free 30-minute call. Tell us what takes up your team's time, and we'll tell you honestly whether AI is the right answer. You get a one-page written summary, even if you don't hire us.
- Getting to know your work (about a week). We look at the questions, requests and information involved, and where a person must approve.
- A written plan (1 to 2 weeks). What the assistant will do and what needs approval, agreed in writing before we start building.
- Building (2 to 12 weeks). We work in two-week rounds and show you a demo every week, so you can try it and give feedback as we go.
- Launch (about a week). It goes live and we watch it closely, so from day one we see any problems and what it costs to run.
- Looking after it (optional). We keep it up to date, monitor it and improve it over time.
What it costs and how pricing works
We write down exactly what will be built and only then send you a quote, so you know the price before any work starts.
Most projects are paid in two-week rounds, with a written plan for each round. A small, clearly defined first version can be a fixed price. After launch, you can see what it costs to run.
There's no price list, because no two assistants do the same job. The price depends on:
- How many of your tools it connects to
- How much of your information it reads
- How many steps need a person's approval
- Whether it runs on your own servers
After launch: it's all yours
You own everything from day one: the software, the assistant's instructions, its test questions and the cloud account it runs on. It's all in your company's name, so you're free to keep working with us, move to another team or run it yourselves.
Phoned-Tech is a team of 7+ senior engineers. A senior engineer stays on your project from the first call to handover. If you want, we keep looking after it, with agreed response times.
When we're not the right fit
If a task always follows the same steps, you don't need AI. A simple automation that connects your tools is cheaper and more predictable.
If you need one AI feature inside your app or website, like smart search or summaries, that's our AI integration service.
If you only want a simple question-and-answer box with no access to your systems, a ready-made chatbot tool will probably cost less. We'll tell you so on the first call.
And if a mistake would be serious and hard to undo, AI shouldn't decide alone. We learned this ourselves: we built an agent to roll out software updates, and it worked well in testing. In real use, an information source it relied on stopped updating, the agent made confident wrong decisions, and we switched it off after two weeks.
AI chatbots & agents: common questions
How much does an AI chatbot or AI agent cost?
It depends on what it needs to do, so there's no price list. After a free 30-minute call, we write down what will be built and send you a clear quote before any work starts.
How long does it take?
Usually 4 to 16 weeks. An assistant for one job is quicker, and one that connects to many systems, with several approval steps, takes longer.
Will it make things up or give customers wrong answers?
It answers only from your information, shows its sources and passes the question to a person when it isn't sure. No one can honestly promise zero mistakes, but we make them easy to spot and fix.
I'm not technical. What do you need from me?
Your knowledge of your business: the questions customers ask, the documents your team relies on, and someone to try the assistant at the weekly demos. We handle everything technical and explain it in plain words.
Which AI do you use? Is it ChatGPT?
We work with OpenAI (the company behind ChatGPT), Claude from Anthropic, and AI that can run on your own servers. We test them on your task and pick the one that gives the most accurate answers.
Who owns it, and who looks after it after launch?
You own all of it from day one, in your company's name. After launch you can run it yourself, or keep us on to keep it up to date and improving.
